Sourcing Services

The practical scope of our China sourcing work: clarifying the requirement, finding and screening suppliers, comparing quotations, coordinating samples, following production, coordinating inspection, checking packaging and preparing shipment — each with the deliverable it produces.

01 / Service modules

Ten modules, each with a deliverable.

Every module below names what it does and what comes out of it, so the scope of an order can be read the way a procurement record is read.

01

Requirement Clarification

We clarify the product, quantity, target price, target market and brand positioning, together with material, size, colour and custom packaging requirements. Clients who are new to importing are walked through the trade process as part of this step.

Deliverable
A written requirement brief covering product, quantity, target price, target market and customisation.
02

Supplier Search

Product sources and suppliers that can meet the confirmed requirement are identified — including customisation quantity, packaging, price, target market and brand premium.

Deliverable
A candidate supplier list matched to the requirement.
03

Supplier Screening

Candidates are screened against the product type, the client country and the customisation involved. Where the order calls for it, the factory is audited and the result is reported.

Deliverable
Screening notes, plus a factory audit report where the order requires one.
04

Quotation Comparison

Factory quotations are compared and presented under one agreed trade model: commission agency converts the factory quotation at the exchange rate and charges the service fee separately, while resale quotes with margin included.

Deliverable
A quotation comparison and, once the terms are agreed, a signed PI.
05

Sample Coordination

Sampling is arranged with the supplier, and the client confirms material, size, colour and packaging on the sample. Where the factory supplies the sample free of charge, no sample fee is charged; courier cost is borne by the client.

Deliverable
A confirmed sample with written client approval and sample photography.
06

Production Follow-up

Materials are checked before production starts, and the merchandising team follows production with the factory. If a lead time, a specification change or a quality question appears, we raise it with the client and continue only once there is agreement.

Deliverable
Pre-production material check notes and written follow-up on production and lead time.
07

Quality Inspection Coordination

QC inspects the goods before dispatch against industry standards and the requirements raised on the order, checking product and packaging, taking photographs and video, and issuing an inspection report. A bulk sample is sent where the order calls for one.

Deliverable
An inspection report with photographs and video, plus a bulk sample where required.
08

Packaging Checks

Packaging and labelling requirements are confirmed with the client for the target market, then checked on the packed goods as part of the pre-shipment inspection.

Deliverable
Packaging check notes with photographs of the packed goods.
09

Shipment Preparation

Dispatch follows the written client approval of the inspection result or the bulk sample, and the balance payment. The documentation team prepares the shipping documents and arranges dispatch; FOB is standard, with EXW, DDP and CIF used according to the order.

Deliverable
Shipping documents and a scheduled dispatch.
10

Issue Coordination

Across the modules above, exceptions — lead time, specification changes or quality questions — are coordinated between client, supplier and factory, and the order moves on only after the client agrees to the way forward.

Deliverable
A written record of the issue and the agreed way forward.

What the record looks like.

The scope above leaves documents, photographs and reports behind. Each figure below is a placeholder labelled with the size it should be replaced at.

Scope note

The default model is procurement agency. A buy-out resale model is used when the client needs one quotation, one payment collection and Huntersourcing as the seller, or when the supplier cannot trade directly with the client.

The deliverables above are the records an order produces. Quantities, prices, lead times and commercial terms are confirmed against the specific requirement and written into the PI; supplier options and costs are reported for the order at hand rather than as fixed figures.

Send the requirement and the constraints around it.

Product, quantity, target market and any customisation: that is enough for us to start clarifying what can be sourced and how the order would run.
