Supplier Verification / Screening Records

Supplier Verification

A verification framework that stays inside what a check can actually show: the company you would be dealing with, the product it can make, the workshop it runs, the equipment and processes that matter to your item, how it checks its own output, how it communicates, and the evidence kept for you.

Verification is scoped on the order. What is examined, whether a visit is arranged and how far the check goes depend on the product, your market and the order — so no fixed figures are published on this page.

01 / Checkpoints

Seven checkpoints, each with its own boundary.

Each line states what the check examines, how it is recorded, and the point at which the check stops meaning anything more. Where a point depends on a supplier document, the document is recorded as provided — not as verification performed by us.

The verification framework: checkpoint, what it examines, how it is recorded, and its status.
No. Checkpoint What it examines How it is recorded Status
01 Company information The details as the supplier provides them. This is not a legal or financial check. The business details a supplier provides, the name it quotes and contracts under, and the person we actually deal with. The details as provided, held against the name on the quotation and the purchase contract. Depends on the order
02 Product capability Judged on what the supplier can show for this product, not on a catalogue in general. Whether the supplier makes this kind of product: the range it currently runs, comparable items it already produces, and a sample made to the agreed specification. Sample photographs and the specification the sample was made against. Recorded
03 Production environment The workshop as it stands on the day of the visit, in the areas we are shown and ask to see. Where the product is made: the workshop areas, the flow of material and work in progress through them, and how the goods are stored. Site photographs with the area noted, and the visitor's written notes. Observed on site
04 Equipment and processes Covered where it is relevant to the product and the order. The equipment and the process steps this product depends on, as they apply to the item being bought. Notes and photographs of the steps that matter to this product. Depends on the order
05 Quality systems What the supplier does in its own workshop. It is not a certification of that system. How the supplier checks its own output: incoming material, checks during the run, checks before packing, and who carries them out. What was seen and noted on site, alongside the checks we run on the order itself. Observed on site
06 Communication reliability Observed across the order, not scored against a published standard. Who we deal with, whether the points raised come back answered, and whether the supplier stands behind what it agreed. The correspondence and the agreed notes held on the order. Recorded
07 Evidence collection The order keeps what was found. It does not replace your own reading of it. What is kept for you: the site notes, photographs and video, the audit or inspection report where one is issued, and the bulk sample where one is sent. The order file — notes, photographs, video, report and any bulk sample. Recorded
Status labels
Recorded
The point was examined, and what it showed is written into the order record.
Observed on site
The point was seen during a visit or against a sample, and noted as it stood at that time.
Depends on the order
Whether this point is covered, and how far, is confirmed on the order rather than assumed.
Not verified here
Outside what this framework checks. The limits are set out further down this page.
02 / Scope and ownership

What sets the scope, and who carries it out.

Verification is not one standard applied to every supplier. What is examined is set by the product, the market it is going to and the order itself — and the check is run by the teams that stay on the order afterwards.

What the scope follows

  • The product What the item is, and what the process behind it has to do.
  • Your market The country the goods are going to, and the requirements that come with it.
  • The order Quantity, customisation and packaging, and the price the order has to hold to.
  • The brand position What the product is being bought as, and the brand premium attached to it.

Who does what

Sourcing & sales
Clarify the requirement, screen suppliers against it, and take the order through quotation and contract.
QC Division
Carry out a factory visit or audit where the case calls for one, check pre-production materials, and inspect before shipment.
Merchandising
Stay with the supplier through production, and bring a delivery, change or quality issue to you before the order continues.

A visit is arranged where the order calls for one, and a factory audit report can be issued where the order requires it. The end-to-end flow sits on the process page, and the inspection of finished goods on the quality control page.

03 / Where the check stops

What verification is not.

Verification narrows what you have to take on trust. It is narrower than it sounds in a sales conversation, and the difference is worth stating plainly before an order starts.

Not verified here

A document is not a verification

Documents such as a business licence, ISO, environmental or SGS material may be involved in an order. Their holder, validity, scope and the products they cover are not confirmed on this page, and they are not presented here as verification that has been carried out.

Not verified here

Not a legal or financial check

A field check does not establish a company's legal standing or its financial position. The signing entity, the trade model and the responsibility that follows from each are agreed on the order, not settled by a visit.

Not verified here

Not a product compliance ruling

Whether a product may be sold in your market depends on that market's own rules. Compliance for the destination is confirmed on the order, and is not assumed from a supplier document.

Not verified here

Not a guarantee of what happens next

Verification describes what was examined and seen at a point in time, and keeps that in the record. It does not guarantee later production, delivery or product performance.
